PAYMENT AND CANCELLATION POLICY
At ANDEAN ROOTS TRAVEL, we strive to provide a safe, reliable, and flexible experience. We understand that unforeseen circumstances may arise, and we will always do our best to help you reschedule or modify your trip within the applicable policies.
1. PAYMENT POLICY
To ensure the correct management of services, the following payment rules apply:
1.1 Multi-Day Trips and Regular Tours
- For bookings made 61 days or more prior to the trip: A 20% deposit is required to secure an advance block.
- For bookings made 45 to 60 days or less prior to the trip: 50% of the total cost must be paid. If the initial 20% deposit has already been made, the remaining 30% must be paid to complete the 50% reservation amount.
- The remaining 50% balance must be paid no later than 10 days before the trip starts. Failure to complete this payment will result in the cancellation of the reservation.
1.2 Last-Minute Bookings
- For bookings made 15 days or less prior to the travel date: 100% of the total service cost must be paid at the time of booking.
1.3 Payments for Full-Day Tours
- A 30% deposit of the total tour value is required to confirm the reservation.
- The full payment must be completed no later than 48 hours before the start of the tour.
1.4 Accepted Payment Methods
ANDEAN ROOTS TRAVEL accepts payments via:
- Cash
- Credit Cards
- PayPal
The data entered to process payments are handled under strict security measures and are not stored longer than necessary.
2. CANCELLATION POLICY
Cancellations may involve charges due to the policies of our suppliers (airlines, hotels, local operators).
2.1 Cancellation by the Passenger
In the event of requesting modifications or cancellations for multi-day tours:
- Cancellations more than 45 days in advance: The client will receive a full refund of the amount paid. Only applicable bank costs or commissions, if any, will be deducted.
- Cancellations between 30 and 45 days before the tour starts: A 50% penalty of the amount paid will be applied.
- Cancellations between 11 and 29 days before the tour starts: A 75% penalty of the amount paid will be applied.
- Cancellations 10 days or less in advance: A 100% penalty of the total reservation value will be applied; no refunds will be granted. (This policy also applies to no-shows).
In the event of requesting modifications or cancellations for one-day tours:
- Cancellations more than 48 hours in advance: The 30% deposit will not be refunded to cover operational, transportation, and coordination expenses for the tour.
- Cancellations between 24 and 48 hours before the tour starts: A 50% penalty of the total tour value will be applied. If the client has already made the full payment, 50% will be refunded.
- Cancellations less than 24 hours in advance or no-show: A 100% penalty of the total tour value will be applied.
Important Considerations
- Penalty percentages are applied based on the date the formal cancellation request is received.
- External suppliers (hotels, transportation, activities) may have stricter policies; any additional cost will be passed on to the client.
- Refunds are processed within a maximum of 15–30 business days.
3. MODIFICATIONS AND DATE CHANGES
We understand that unexpected situations can arise.
If you need to modify your travel dates, reschedule, or make adjustments, ANDEAN ROOTS TRAVEL will do its best to assist you, always subject to the current policies of external suppliers.
- Changes are subject to availability.
- Some suppliers may apply penalties or supplements, which will be communicated to the passenger before confirming the change.
- If the service modification is not possible, the corresponding cancellation policies will be applied.
4. CANCELLATIONS DUE TO FORCE MAJEURE
In extraordinary situations such as strikes, epidemics, natural disasters, road or park closures, or governmental decisions, the itinerary may be modified without liability on the part of the agency.
No refunds will be granted for activities that cannot be carried out due to force majeure, but the agency will attempt to offer alternatives where possible.
